How do I create custom use details?

On the Details tab, you can optionally create up to two Custom Property Use Details to can track information that is most meaningful to your organization that is not already collected in Portfolio Manager. For example, schools might want to track “Number of Students”, hotels might want to track “Rooms Sold,” a manufacturing plant might want to track “Number of Widgets Manufactured.” You can set these individually at the property level on the Details tab, under a new property use called "Entire Property Use."

***Note - These Custom Use Details must be Annual values. Most existing Property Use Details are numbers that should be averaged across the year if the number fluctuates (such as Number of Workers or Number of Weekly Operating Hours). However, you may want to track a value that should be summed over the course of the year (such as Number of Hotel Rooms Sold, Number of Hospital Patients Treated, Number of Widgets Manufactured). If this is the case, you will need to enter an annual value. We recommend you add "Annually" or "Per Year" to the name of the custom use detail to be clear.

  • Custom Use Detail 1 - Name
  • Custom Use Detail 1 - Value
  • Custom Use Detail 1 - Units
  • Custom Use Detail 2 - Name
  • Custom Use Detail 2 - Value
  • Custom Use Detail 2 - Units

Other notes:

  • These new metrics are at the property level, meaning you can create different custom metrics for each individual property. 
  • Anyone with Full Access to a property can create these new metrics, or update them. 
  • Anyone with ANY access to a property can see the metrics in reporting. 
  • There isn't a "Clear" or delete function. Currently, you need to overwrite what you've got add something new. 
  • You can track the Value of your Custom Use Details over time. For example, in 2021 you have 100 Students, but in 2022 you have 120 students.
  • If you change a Use Detail, Portfolio Manager will not save a history of your previous Custom Use Details. This means if your Custom Use Detail #1 is "Number of Student," and you decide to instead track "Number of Teachers" as Custom Use Detail #1, then the tool will overwrite all of your Number of Student data.
