Top 5 Recommendations for Upload Spreadsheets

  1. Use most current version of upload spreadsheet
    • Occasionally we edit the templates based on customer feedback or technical enhancements. Sometimes these changes are subtle, and you may not be able to notice them. Therefore, you cannot always rely on a saved copy that you fill in each time.
    • Best practice: always generate a NEW copy, fill it in and upload it as soon as possible.
  2. Limit File Size
    • Maximum file size is 2 MB.
    • Best practice: if you are working with several hundred properties, break up the information into more manageable chunks and upload them ~100 properties at a time.
  3. Don't Copy/Paste
    • Copy/paste is the culprit behind many spreadsheet upload problems.
    • If you use copy/paste to create new rows, the copied rows may be partial (missing hidden columns) or incorrect.
    • Deleting rows is fine.
    • Copying/pasting directly from utility bills sometimes creates hidden formatting in the spreadsheet that causes issues.
    • If you must copy and paste something, only paste values.
  4. Use Web Services if you have a large portfolio
    • We do not recommend using upload spreadsheets to update massive amounts of client data.
    • EPA offers web services that allow you to exchange data with Portfolio Manager. This allows for automated data exchange between you and your clients. Please note: in order to use the web services function your account must be approved for access to the live environment.
    • Best practice: if you have a large portfolio utilize web services to keep it up-to-date.
